Free Wedding Seating Chart Template for Excel and Google Sheets

A free wedding seating chart template is a guest list with the tables already written down, not the poster at the door. If you searched for a wedding seating chart template for Excel, you want a file you can open tonight, columns that will not need renaming, and a sheet you can also fill in Google Sheets.

WedSeatly already serves that file: a small CSV with the headings the uploader reads. You assign every table yourself. The template does not seat anyone, and it does not draw a floor plan. When the list is complete, preview a watermarked chart for free, and pay £4.99 only if you want the print-ready pack.

Download the free template

The file is wedseatly-guest-list-template.csv, the same download offered on the create page. Excel, Google Sheets, Numbers and LibreOffice all open a CSV, so you do not need a paid spreadsheet to begin.

In Google Sheets, choose File, then Import, and upload the CSV. When you have finished, choose File, then Download, and save as .csv or Excel .xlsx. The create page accepts those two files, or a paste of the same rows. It does not open a live Google Sheets link.

Three sample rows show the columns before you type a real name. They are invented guests. Delete Sarah, James and Maya before you generate a chart, and leave the heading row in row one.

Guest Name Table Meal Choice Dietary Note
Sarah Ahmed Table 1 Chicken
James Khan Table 1 Nut allergy
Maya Patel Table 2 Vegetarian Gluten-free

The columns, and how to fill them in

Every guest needs a name and a table. Meal choice and dietary notes are optional, and they never appear on the entrance chart. They only feed the table lists in the paid pack.

Guest Name

Put one person on each row, spelled as you want the name printed. A couple needs two rows, not one shared cell. If a plus-one's name is still unknown, "Guest of Maya Patel" is fine, as long as you will recognise it on the day and it is not duplicated.

Table

Type the number or name you have already chosen — Table 1, 1, or Oak — and use that style on every row. Mixing "Table 1", "1" and "Table One" produces three headings. A name with an empty table cannot continue. WedSeatly will not pick a table for you. Finish the groups in the sheet first. The chart only repeats what you type.

Meal Choice and Dietary Note

Both are optional. A short meal label, such as chicken or vegetarian, and a short note, such as nut allergy or gluten-free, are enough. Leave a cell empty rather than typing "none". James Khan's sample row is a dietary note with no meal, which is a valid line. In the £4.99 pack these two fields are printed on the table lists, beside the guest and their table. They are not printed on the main seating chart or the alphabetical finder.

Extra planning columns, such as which side of the family, can stay in the file. The chart uses the name and the table. A heading is read as the guest name if it contains "guest" or "name", as the table if it contains "table" or "seat", as the meal if it contains "meal" or "menu", and as the dietary note if it contains "diet" or "allerg". This download already uses Guest Name, Table, Meal Choice and Dietary Note, so you should not need to remap them.

Fill the sheet in without breaking the upload

Start once RSVPs are settled enough that you are not expecting a rush of new names. Keep the headings in the first row, and on the first sheet of an Excel file. Do not merge cells: a merged block often arrives as a blank, and a blank name or a blank table stops the chart.

Use the same table label guests will see in the room, then count the names at each table against the chairs the venue has confirmed. The file will store eleven people at a table of ten without comment. That check is yours. WedSeatly does not know the floor plan, and it does not assign seats.

After upload, duplicate names are flagged, and so are names longer than 32 characters, so you can shorten a very long line before it is printed small. A missing name or a missing table has to be filled in before you can go on.

If the plan already lives in another workbook, you do not have to retype it here. Copy Guest Name and Table across, or upload the file you already trust. Those steps are covered in turn your Excel wedding table plan into a seating chart.

Turn the filled template into a print-ready chart

Save as CSV or .xlsx. Open the create page, upload the file or paste the rows, and choose a style and a size. The preview is free and watermarked, and there is no account. Your original file is left untouched.

Check the preview for spellings and for table headings that have split because the labels did not match. Fix the sheet and preview again. When it looks right, £4.99 is the clean PDF pack:

  1. The main seating chart, with names under each table, for the easel or the welcome table.
  2. An alphabetical guest finder, so a guest can look up a name instead of scanning every heading.
  3. Table lists for ushers and the venue, including meal choice and dietary notes where you filled them in.

Exports are A1, A2, A3, 18×24 and 24×36. There is no A0, and the seating chart is a single page. Which sheet fits the guest count is in seating chart size by guest count: A3 for a very small list, A2 or 18×24 for a smaller reception, and A1 or 24×36 once the list is longer. Choose the size before you generate, because each sheet has its own shape. Send the PDFs to your printer, and keep the spreadsheet as the copy you edit. A late swap is one changed row and a new file.

Frequently asked questions

Is there a free wedding seating chart template for Excel?

Yes. The CSV template opens in Excel and in Google Sheets. Replace the sample names. Guest Name and Table are required. Meal Choice and Dietary Note are optional.

Can I fill the seating chart template in Google Sheets?

Yes. Import the CSV, add one row per guest, then download a CSV or an Excel .xlsx file. WedSeatly uploads those files, or a paste of the same rows. It does not open a live Google Sheets link.

Does the template assign tables for me?

No. You type a table for every guest. WedSeatly does not assign tables, move people, or draw a floor plan. It only formats a list that already has table assignments.

Do meal choices print on the seating chart?

No. The main chart and the alphabetical finder show the guest's name and table. Meal choice and dietary notes appear only on the table lists in the £4.99 pack, and only where you filled them in.

What sizes can I print from the filled template?

A1, A2, A3, 18×24 and 24×36. There is no A0 export. The preview is free and watermarked. £4.99 is the PDF pack: the chart, an A–Z finder and the table lists.
