Seating Chart Size by Guest Count
If you are looking up seating chart size, seating chart paper size, or a seating chart size for 150 guests, start with how many names have to be readable from a step away, in a short queue, on an easel that fits the doorway.
These ranges match our print-size guide: A3 up to about 30 guests, A2 about 30–60, A1 about 60–150, 18 × 24 inches about 30–70, and 24 × 36 inches about 60–160. Near the top of a band, long names or a border are a reason to go up a size.
Guest count, recommended size and layout
| Guest count | Recommended size | Layout note |
|---|---|---|
| Up to about 30 | A3 (297 × 420 mm) | Fine for a very small wedding. Too small as the main entrance sign after that. |
| About 50 | A2 (420 × 594 mm), or 18 × 24 in | Comfortable for an intimate reception. Use A1 if you want a border or a busier entrance. |
| About 100 | A1 (594 × 841 mm), or 24 × 36 in | The usual UK and US display sizes, with room for clear table headings. |
| About 150 | A1, or 24 × 36 in near the top of the range | A1 covers about 60–150. 24 × 36 in covers about 60–160, which helps when names are long. |
| About 200 | No single WedSeatly poster | No A0 export, and the chart is one page. Use the A–Z finder and the table-by-table list. |
What seating chart paper size actually changes
Paper size is the physical sheet. A later font change will not make the board larger. UK and European shops work in A sizes: A3 is 297 × 420 mm, A2 is 420 × 594 mm, and A1 is 594 × 841 mm. Each step up is a different sign. US printers more often stock 18 × 24 in and 24 × 36 in. The proportions differ, so build the chart for the sheet you will actually print.
The sheets are portrait, which suits a typical easel, so measure the stand before you order. In WedSeatly you choose A1, A2, A3, 18×24 or 24×36 before the preview, because each size has its own shape. There is no A0, and the chart PDF is one page.
Seating chart size for 50 guests
Fifty guests sit in the A2 band (about 30–60) and the 18 × 24 in band (about 30–70). A3 only suits up to about 30, so it is the wrong main sign even if the names can be squeezed on. A2, at 420 × 594 mm, is what most UK high-street printers can turn around quickly. Use 18 × 24 in for a US printer. Step up to A1 only for a wide border, a large entrance, or fewer columns.
Five tables of ten, or six of eight with a sweetheart table, is a short grid, and one chart covers the queue. An alphabetical finder beside it still helps.
Seating chart size for 100 guests
One hundred guests is past A2 (about 30–60) and past 18 × 24 in (about 30–70). Choose A1, about 60–150 guests, or 24 × 36 in, about 60–160. You are in the middle of the range, so names can stay a comfortable size and table headings can stay larger than the lines under them.
About ten to thirteen tables usually means three or four columns. Mount the board where people pause, with the A–Z finder beside it.
Seating chart size for 150 guests
The seating chart size for 150 guests is A1 in the UK, and 24 × 36 in if you want a little more room or a US sheet. A1 covers about 60–150, so 150 is the top of the range, not the middle. 24 × 36 in runs to about 160, which is the better sheet when surnames are long, you have more than about fifteen tables, or you want a border. Do not use A2 or 18 × 24 in. Those are for roughly 30–70 guests.
Keep decoration light, stand the board near eye level, and print the alphabetical finder. WedSeatly does not move guests between tables.
Seating chart size for 200 guests
Two hundred guests is past both comfortable posters. A1 is a guide for about 60–150, and 24 × 36 in for about 60–160. A wide-format shop can print A0 (841 × 1189 mm), but WedSeatly does not export A0. The sizes you can generate are A1, A2, A3, 18×24 and 24×36, and the seating chart is one page. Nothing in the download splits one guest list across two posters.
The £4.99 pack does include an alphabetical finder and a table-by-table list from the same upload. The finder is an A–Z of names with table numbers. The table list groups guests under each table and can include meal choice and dietary notes, which is why the file is the table and catering list. Both are A4 and run onto further pages, so type does not shrink to force 200 names onto one board. Put the finder where guests arrive, and give the table list to the ushers and the venue. An A1 or 24 × 36 in chart of the full list can still hang as a display beside the finder.
Paper and finish
Ask for a matte or silk finish. Gloss and heavy foil glare in a dim entrance, and pale metallic type on a shiny ground is hard to read. On an easel, mount the chart on foam board, about 5 mm is common, or print on a rigid board. Loose paper curls and hides the last row of names.
The chart PDF uses the sheet size you chose, with names set as type, so the lettering stays sharp. A background image has to be large enough for that sheet: the builder asks for at least 150 DPI. Order two copies. Some printers ask about bleed, and this file is the finished size you selected, so agree the edges first. A1 and 24 × 36 in suit most hire easels.
Make the chart once the tables are assigned
Upload an Excel file, CSV or pasted list that already has a table for every guest. If you do not have a sheet yet, the free wedding seating chart template is a CSV with a Guest Name column and a Table column. WedSeatly does not assign tables. It turns that list into files a printer can output.
